WixThe Problem
It shows up when a practice grows past one clinician, hires a bookkeeper, or starts looking for a TherapyNotes API integration that the vendor doesn't publish.
Bookkeeping
Monthly revenue gets retyped into QuickBooks from three reports.
Bookkeeping
Exports map to QuickBooks accounts and classes on a repeatable monthly template.
Booking
Website contact forms send new clients to an inbox.
Booking
Your site links to TherapyPortal, where clients request appointments directly.
Scanning
Oversized scans bounce off the upload limit.
Scanning
Scanner profiles follow TherapyNotes' advice: 150 dpi grayscale, and PDF for paper.
AI notes
An unvetted AI note tool gets suggested by a colleague.
AI notes
TherapyFuel is switched on with a client consent form and the right roles.
Your bookkeeper asks for last month's revenue by clinician, so you export three reports and retype the totals into QuickBooks. A new client emails to book because your website's contact form goes to an inbox, not to TherapyNotes. Intake paperwork arrives on paper and gets scanned at full color, so files bounce off the 25MB limit. A colleague recommends an AI note tool you haven't vetted. And a developer quotes you for an API connection that TherapyNotes doesn't offer.
We start with what TherapyNotes documents, because it publishes no API or Zapier app we could find. Your website links to TherapyPortal, where clients request appointments and complete intake forms that pre-fill the chart. Billing exports become a monthly QuickBooks routine your bookkeeper can repeat. Scans follow TherapyNotes' own settings, and TherapyFuel is set up with a consent form. You get connections that work today, not a quote for an API that isn't there.
Portal as the front door
Website visitors reach TherapyPortal to request appointments and complete intake before the first session.
Exports become a routine
Revenue and billing exports map to QuickBooks the same way every month, with no retyping.
Scans that upload first time
Scanner settings follow TherapyNotes' own advice, so documents stay under the 25MB file limit.
Our TherapyNotes Integration Process
You see what TherapyNotes supports natively, approve which link, form, or export covers each need, and watch a test request and last month's numbers run through before go-live.
We look at your TherapyNotes plan, clinicians, website, bookkeeping, and any tools you hoped to connect. You get a plain list of what TherapyNotes supports natively and what has to run on links or exports.
Projects We've Built
Medical, booking, and wellness apps and websites we designed and built. None ran TherapyNotes, but they show how we handle appointments, intake details, and client records.

What's Included
A portal link and intake forms that cut paperwork, a QuickBooks routine built from TherapyNotes exports, scanner settings that upload first time, and TherapyFuel set up properly.
Compare Options
Unofficial API layers promise automation, and spreadsheets cost nothing but time. Here is where each one fits, and the risks a practice should weigh before choosing one.

What Our Clients Say
Feedback from teams we have built booking and client record software for.
We had a pretty specific idea of what we wanted our website to become, but I wasn’t sure how easily we could explain all of it to a development team. There were quite a few moving parts, and we were working toward a deadline, so I expected a few things to get lost along the way. That never really happened. They understood what we were trying to achieve, kept us updated throughout the process, and got everything ready within the agreed timeline. The final site feels much easier to navigate, works beautifully on mobile, and is noticeably smoother for our customers. It was a huge relief seeing the original idea actually turn into the website we had in mind.
The mobile experience is probably my favourite part of the new site. We had spent a lot of time making sure the desktop version looked right, and the team kept pushing us to think about how everything would actually feel on a phone too. They were right. The navigation is clean, the interactions feel natural, and everything we’ve tested so far works exactly as it should. They also went through the links, forms, integrations, and other details more than once before launch, which I really appreciated. And even after going live, we could still reach out when something came up. The whole process felt friendly, organised, and surprisingly straightforward.
What I appreciate most is that the website is actually easy for us to manage now. We can update content ourselves instead of sending a developer a message every time we need to change something small. They also paid attention to the technical SEO side, which mattered to us because we didn’t want a new website to create problems for the traffic we already had. I’ve probably asked more questions than I should have since launch, but every question has been handled patiently and without any fuss. The team is easy to work with, they explain things clearly, and when we need something changed, they focus on getting it done rather than making the process complicated.

Work Culture
We say plainly what TherapyNotes can and can't connect to, use its own features first, and leave routines your team can run without us.
TherapyNotes publishes no API or Zapier app that we could find, and we say so before quoting. You won't pay for a sync that depends on access nobody has.
We check TherapyPortal, intake forms, reminders, payments, and TherapyFuel before anything else. If TherapyNotes already covers your case, we'll tell you before we quote.
Chart data stays inside TherapyNotes, and the exports we handle hold billing figures, not session notes. Your clinical records stay under TherapyNotes' own safeguards.
Every routine comes with a checklist your bookkeeper can follow alone. The second month should take less time than the first, without a call to us.
We set roles for clinicians, billers, and schedulers so each person sees what their job needs. Adding a clinician later doesn't break the routine.
You get a fixed proposal after the free review, listing every link, form, and export. If we find more work mid-build, we ask before adding it.
Overview
DeveloperLook handles TherapyNotes API integration requests for therapy practices, starting with what TherapyNotes actually documents. We link your website to TherapyPortal, set up intake forms, turn billing exports into a monthly QuickBooks routine, and configure TherapyFuel. Projects start at $400 and take 1 to 4 weeks, with a fixed scope after a free review.

Good fit
Solo therapists doing their own books
You export the Revenue Report every month and retype it into QuickBooks, and you searched for a TherapyNotes QuickBooks integration that doesn't exist natively.
Group practices adding clinicians
Your group is adding clinicians, and each one needs portal scheduling, intake forms, and the right user role before their first client books.
Practices weighing AI note tools
You're comparing AI scribes and want to know whether the TherapyNotes AI integration, TherapyFuel, covers your sessions and your consent rules.
Practices launching a new website
Your new WordPress or Squarespace site needs booking and contact pages that send clients into TherapyPortal instead of a general inbox.
Developers asked to connect TherapyNotes
Your client practice asked for a TherapyNotes API integration, and you need to know what TherapyNotes documents before you quote any work.
Not a fit
Practice runs SimplePractice
Your practice runs SimplePractice, not TherapyNotes. Our SimplePractice Integration page covers its booking widgets, client portal, and BAA checks.
Need a live two-way sync
You need a live, two-way sync between TherapyNotes and another system. Without a published API, we'll tell you before we quote and point you to TherapyNotes first.
Need HIPAA program advice
You need a HIPAA risk assessment or policies, not connections. Our HIPAA Compliance Consulting page covers that work for healthcare practices.
Need a new practice website
Your website is the real problem, not the connections. Our Therapist Website Design page builds the site, and the TherapyPortal links come with it.

A TherapyNotes integration from DeveloperLook starts at $400 for the TherapyPortal link, appointment request settings, intake forms, and a scanning guide. A monthly QuickBooks routine with TherapyFuel setup starts at $1,050. Group practice reporting starts at $2,400. Your TherapyNotes subscription and add-ons are billed by TherapyNotes, separately.
A TherapyNotes API integration project takes 1 to 4 weeks, because it runs on portal links, forms, and exports rather than live API calls. Portal and intake setup takes about 1 week. A QuickBooks routine takes 2 to 3 weeks, and a group reporting build takes 3 to 4 weeks.
Not that we could find. TherapyNotes lists no API, developer program, or Zapier app on its site, and its help center returns no articles about them. Some third parties sell unofficial access, which we don't recommend for client records. Ask TherapyNotes directly before paying anyone for a live sync.
TherapyNotes says it can help your practice maintain HIPAA compliance, and it is HITRUST certified. Since April 23, 2026, its BAA is built into the Terms of Service for covered entities, so there's nothing to sign. Encryption, two-factor login, user roles, and an activity log are included, though your own safeguards still matter.
TherapyNotes Solo costs $69 a month for one user. Group plans cost $89 a month for the first clinician and $60 for each additional one, and non-clinical staff are free. TherapyFuel adds $40 per clinician monthly, Premium Telehealth adds $15, and card processing is 3.1% plus 30 cents per transaction.
Yes. TherapyNotes Mobile is a companion app included with every subscription. It shows your schedule and client details, sends appointment and message notifications, keeps upcoming appointments available offline, launches telehealth sessions, and can start a TherapyFuel Scribe recording. TherapyNotes lists appointment management and payment tracking as features still to come.
Neither wins for every practice, and the choice usually comes down to pricing model and built-in billing. TherapyNotes charges per clinician, with a built-in clearinghouse and published per-claim fees. SimplePractice sells tiered plans whose features vary by tier. Our SimplePractice Integration page covers that platform if you choose it.
Not directly, but any scanner works. TherapyNotes' help center says to scan to a file and upload it to the client's chart, with no limit on the number of files and each under 25MB. It recommends 150 dpi grayscale, PDF for paper, and PNG for ID and insurance cards. We set up scanner profiles to match.
Yes. TherapyFuel is the TherapyNotes AI integration for notes, at $40 per clinician each month. Its Scribe mode transcribes in-person or TherapyNotes Telehealth sessions and drafts the Progress Note for you to review and sign. Transcripts are deleted when the note is signed or after 30 days. Group and medication management notes aren't supported yet.
Not a native one that we could find. Accounting data leaves TherapyNotes through exports: the Revenue Report, the billing transactions search, and the aging, write-off, and adjustment reports. We map those exports to your QuickBooks Online accounts and classes in a monthly template, so your bookkeeper imports the same way each time.
