How your project runs
Teams we have built for:

The Problem
It starts as a favor to patients. A nurse texts a reminder from a personal phone, and soon the whole office does it.
01 · Personal phones
Patients text your front desk's cell phone about moving visits.
Every patient text lands in a shared inbox your staff can search.
02 · Departing threads
When a nurse leaves, the patient threads leave with them.
Texts live on a platform that signs a BAA, not on anyone's phone.
03 · Unapproved numbers
Carriers want website consent before they approve your number.
A2P 10DLC registration and consent checkboxes go in before the first reminder.
04 · No-shows
Reminder calls go unanswered, and no-shows leave gaps.
Text reminders go out from your schedule with reply options.
A patient texts your front desk's cell phone about moving Thursday's visit. Another sends a photo of a rash to a nurse's personal number. Nobody logs either message, and when that nurse leaves, the thread leaves too. Reminder calls go unanswered, and no-shows leave gaps you can't fill. You'd switch platforms, but which ones sign a BAA, and what does your website need before carriers approve your number?
We start by moving patient texts to one shared inbox on a platform that signs a Business Associate Agreement (BAA). Then we register your number for A2P 10DLC business texting and add consent checkboxes to your website forms. Reminders go out from your schedule with reply options, and anything sensitive sits behind a secure link. Your staff answer from one place, not from their own phones.
One inbox, not cell phones
Every patient text lands in a shared inbox your staff can search and hand off.
Carriers approve your number
A2P 10DLC registration and website consent are in place before the first reminder goes out.
Details behind a secure link
Texts carry the time and place. Results and instructions open behind a login.
Our Patient Texting Process
You approve the platform, every message template, and the consent wording before a single patient text goes out from your number.
We list every way patients text your office today, from staff phones to the reminders your scheduler sends. You get a platform recommendation, a consent plan, and a fixed-price proposal.
What's Included
The platform, the consent trail, and the messages patients actually read, set up so your texts stay useful without saying too much.

Projects We've Built
Medical and booking apps we have designed and built, with the notifications, messages, and account screens patients use between visits.
What Our Clients Say
Feedback from teams we have built patient apps, booking tools, and private messaging for.
We had a pretty specific idea of what we wanted our website to become, but I wasn’t sure how easily we could explain all of it to a development team. There were quite a few moving parts, and we were working toward a deadline, so I expected a few things to get lost along the way. That never really happened. They understood what we were trying to achieve, kept us updated throughout the process, and got everything ready within the agreed timeline. The final site feels much easier to navigate, works beautifully on mobile, and is noticeably smoother for our customers. It was a huge relief seeing the original idea actually turn into the website we had in mind.
The mobile experience is probably my favourite part of the new site. We had spent a lot of time making sure the desktop version looked right, and the team kept pushing us to think about how everything would actually feel on a phone too. They were right. The navigation is clean, the interactions feel natural, and everything we’ve tested so far works exactly as it should. They also went through the links, forms, integrations, and other details more than once before launch, which I really appreciated. And even after going live, we could still reach out when something came up. The whole process felt friendly, organised, and surprisingly straightforward.
What I appreciate most is that the website is actually easy for us to manage now. We can update content ourselves instead of sending a developer a message every time we need to change something small. They also paid attention to the technical SEO side, which mattered to us because we didn’t want a new website to create problems for the traffic we already had. I’ve probably asked more questions than I should have since launch, but every question has been handled patiently and without any fuss. The team is easy to work with, they explain things clearly, and when we need something changed, they focus on getting it done rather than making the process complicated.

Work Culture
Texting problems start small: one staff phone, one unlogged reply, one missing opt-in. These habits keep each of those from turning into a privacy issue.
Patient texts land in a shared inbox, not on anyone's personal phone. When staff change, the conversations stay with your practice.
We add consent checkboxes and register your number before the first reminder. Carriers see a clean record, and so does your compliance file.
Reminders say who, when, and where, and nothing clinical. Results and instructions open behind a login, where every access gets logged.
Patient replies change your schedule instead of sitting in an inbox. Your front desk sees open slots while there's time to fill them.
If your EHR's reminders already cover your needs, we say so on the first call. You add a platform only when it earns its fee.
The platform account, number registration, and consent records stay under your practice. Switch vendors, and your history and consents go with you.
Overview
DeveloperLook sets up HIPAA compliant texting for clinics that want patients confirming visits by text instead of missing them. We move patient messages to a platform that signs a BAA, register your number, capture opt-in consent, and connect two-way reminders to your schedule. Projects start at $900, and most go live in 3 to 5 weeks.

Good fit
Offices texting from personal phones
Your staff text from personal phones. Nobody logs the threads, and they walk out the door when an employee does.
Practices fighting no-shows
Your reminder calls mostly reach voicemail, and no-shows leave empty slots you can't refill in time.
Clinics with rejected SMS registrations
Your texting provider rejected your 10DLC campaign because your website lacked clear consent, so messages are on hold.
Surgery and procedure centers
You need secure text messaging for healthcare that walks patients through pre-op steps without putting instructions in plain SMS.
Agencies with healthcare clients
Your agency built a clinic's website and now needs texting, consent, and a BAA sorted without learning carrier rules.
Not a fit
A few reminders weekly
You send a few reminders a week and have under $900. Your EHR's built-in reminders may already cover it.
Online booking first
You want patients booking online before you text them. Start with our patient scheduling integration service, then add reminders.
Intake forms first
You need intake forms and consents completed before visits. Our online intake forms service handles that paperwork.
Marketing text blasts
You want marketing blasts to every contact on file. Marketing texts need their own consent, and we'll tell you if your list doesn't qualify.

Pricing
These are starting points in USD. Your final price depends on location count, platform, and scheduler sync, and you get a fixed proposal after a free texting review.
For single-location practices moving patient texts off staff phones in about 3 weeks.
$900one-time, USD
For practices that want confirm and cancel replies synced to their schedule.
$2,400one-time, USD
For groups that need texting built on Twilio and tied to the EHR's API.
$5,200one-time, USD
For Agencies
You stay the clinic's point of contact. We set up the platform, handle the BAA and carrier registration, and write consent wording for the site you run, under your brand.
White label: your client only ever sees your brand
Send the clinic's phone setup, scheduler, and the messages it sends by hand today.
You approve the platform, a fixed quote, and the registration plan.
We launch texting, then pass you the consent records and templates under your brand.
Clinic meetings and invoices stay with your agency the whole way.
A platform choice, a fixed quote, and a registration timeline up front.
Senior developers handle Twilio builds, scheduler sync, and consent records.
Handle one clinic's texting or messaging for a regional group.
The Right Technology for Your Project
Every platform that stores patient texts signs a BAA. Where one app covers your needs, we set it up instead of building something new.

Setup starts at $900 for one location on a platform that signs a BAA, with carrier registration and website consent included. Scheduler-synced reminders move you to $2,400. A custom Twilio build tied to your EHR starts at $5,200. The platform's monthly fee is billed to you directly.
Most practices send their first registered texts in about 3 weeks, since carrier review runs alongside setup. Scheduler sync and reminder sequences take 3 to 5 weeks in total. A custom messaging build on Twilio takes 6 to 8 weeks, including tests on real phones and carriers.
Standard SMS can be used with patients, but only with safeguards, because it isn't encrypted end to end. HHS allows electronic messages to patients with reasonable safeguards, such as limiting what an unencrypted message says. Patients can still choose texts after hearing the risks. Your texting vendor needs a signed BAA either way.
You set it up on a platform that signs a BAA, then connect it to your schedule. Reminders carry the date, time, and location with confirm and cancel replies. Recalls go out on your intervals, and pre-op instructions arrive as a timed series with a secure link for the details.
Conversational texting lets patients answer the reminder instead of ignoring a voicemail. A one-word reply confirms, and a cancel reply frees the slot early enough to offer it to your waitlist. Questions about parking or fasting get answered in the same thread, so fewer patients skip out of confusion.
Use a separate checkbox, unchecked by default, next to the phone field. The wording names your practice, the message types, and the frequency, notes that message and data rates may apply, and explains STOP and HELP. Marketing texts need their own box. We store each consent with the date, time, and form version.
Spruce Health includes a BAA in its terms for every eligible organization, and Weave publishes a BAA that supplements its terms of service. Twilio signs a BAA for HIPAA-eligible products, including SMS, on its Security or Enterprise Edition. Check the plan, not only the brand, since coverage can depend on it.
Often, as long as it's a landline or toll-free line. Hosted SMS, which Twilio offers in the US and Canada, adds texting to that number and leaves voice service where it is. A personal mobile number doesn't qualify. We confirm your number's route during the free review.
Texts should leave out diagnoses, test results, medications, and procedure names. A reminder can say who, when, and where, and anything sensitive opens behind a login through a secure link. Standard SMS leaves the vendor's system once it reaches the carrier, which is why the message itself stays minimal.
Your practice owns them. The platform account, the BAA, your number's registration, and the consent records sit in your practice's name, and custom builds include the code. Every plan includes 30 days of delivery checks, and you can export your message history if you switch platforms.
