How your project runs
Teams we have built for:

The Problem
It starts when your phones open. Every line fills with patients who only want a time slot, and the calls keep coming until lunch.
01 · Phone booking
Your front desk answers anything-open-Tuesday calls all morning.
Patients pick a real opening from live availability in your scheduler.
02 · Wrong lengths
A 40-minute visit lands in a 15-minute slot.
Each visit type holds the time it actually takes.
03 · Generic widget
A generic widget didn't know your visit types, so staff fixed bookings.
Screening questions route new, returning, and urgent patients to the right provider.
04 · Lost callers
Callers who give up on hold book elsewhere.
Booking sits on every key page, so patients skip the phone line.
Your front desk answers the same question all morning: anything open Tuesday? Each call means holding, checking three providers' calendars, and asking about insurance. Some callers give up and book elsewhere. Others land in a 15-minute slot for a visit that needs 40. A generic booking widget didn't know your visit types, so staff fixed every booking by hand. Your schedule has openings, and patients can't see them.
We start with your scheduling rules, not the widget. Each visit type gets a real duration, the providers who see it, and questions that sort new patients from established ones. Then we switch on the online patient scheduling software you already pay for, or connect a tool that signs a BAA. Patients pick a real opening, and your front desk stops playing calendar tag.
Visit types with real durations
New patient, follow-up, and procedure visits each hold the time they actually take.
Triage before the slot
Screening questions route new, returning, and urgent patients to the right provider and slot.
Openings patients can see
Booking reads live availability from your scheduler, so nobody books a taken slot.
Our Scheduling Setup Process
You approve the visit rules and watch a test booking land in your schedule before anything goes live on your website.
We look at your EHR, your current booking tools, and a week of phone bookings. You get a map of visit types, the tool we recommend, and a fixed-price proposal.
What's Included
The rules, booking pages, and messages that turn your schedule into something patients can book on their own, all tested before launch.

Switching on the EHR's scheduler yourself costs nothing extra, and a generic widget takes an afternoon. Here is where each one holds up.

Projects We've Built
Doctor booking apps and medical sites we have designed and built, where patients pick a provider, a visit, and a time on their own.
What Our Clients Say
Feedback from teams we have built booking systems, portals, and patient apps for.
We had a pretty specific idea of what we wanted our website to become, but I wasn’t sure how easily we could explain all of it to a development team. There were quite a few moving parts, and we were working toward a deadline, so I expected a few things to get lost along the way. That never really happened. They understood what we were trying to achieve, kept us updated throughout the process, and got everything ready within the agreed timeline. The final site feels much easier to navigate, works beautifully on mobile, and is noticeably smoother for our customers. It was a huge relief seeing the original idea actually turn into the website we had in mind.
The mobile experience is probably my favourite part of the new site. We had spent a lot of time making sure the desktop version looked right, and the team kept pushing us to think about how everything would actually feel on a phone too. They were right. The navigation is clean, the interactions feel natural, and everything we’ve tested so far works exactly as it should. They also went through the links, forms, integrations, and other details more than once before launch, which I really appreciated. And even after going live, we could still reach out when something came up. The whole process felt friendly, organised, and surprisingly straightforward.
What I appreciate most is that the website is actually easy for us to manage now. We can update content ourselves instead of sending a developer a message every time we need to change something small. They also paid attention to the technical SEO side, which mattered to us because we didn’t want a new website to create problems for the traffic we already had. I’ve probably asked more questions than I should have since launch, but every question has been handled patiently and without any fuss. The team is easy to work with, they explain things clearly, and when we need something changed, they focus on getting it done rather than making the process complicated.

Work Culture
A booking system is only as good as its rules and privacy habits. These are the ones we bring to every clinic we set up.
We map your visit types and provider rules before touching any booking tool. Even a good widget can't fix a schedule nobody defined.
Booking reads availability straight from your scheduler. Patients see what's actually open, and your staff stop fixing double bookings by hand.
Triage questions route urgent symptoms to a phone call instead of a slot. Your clinicians write the wording, and we build it as written.
We count bookings without ad pixels on scheduling pages, following HHS guidance. You still see which pages send patients, minus the privacy risk.
If the scheduler you already own does the job, we tell you on the first call. You pay for setup, not a tool you don't need.
Scheduler accounts, rule sheets, and any custom code belong to your practice. If you switch vendors, your setup notes go with you.
Overview
DeveloperLook connects patient scheduling software to clinic websites and EHRs so patients book the right visit themselves. We set up visit types, provider rules, triage, reminders, and waitlists in the scheduler you own or a tool that signs a BAA. Projects start at $800, most launch in 2 to 3 weeks, and every rule gets tested.

Good fit
Practices buried in booking calls
Your phones ring all morning. Most callers only want a time, and new patients hang up on hold.
Clinics with unused portal booking
You pay for Epic or athenahealth self-scheduling, but visit types weren't configured, so patients can only send requests.
Multi-provider specialty groups
Your group has twelve providers with different visit lengths, and your current booking tool treats them like one calendar.
eClinicalWorks and healow practices
You run eClinicalWorks and want healow Open Access on your own site, with rules that keep new patients in longer slots.
Agencies and health startups
Your team needs a doctor appointment booking system on a client site, wired to NexHealth or an EHR's API.
Not a fit
Solo, one visit type
You run a solo practice with one visit type and under $800 to spend. The booking link built into your EHR may be enough.
Website needs a rebuild
Your website needs a rebuild before booking can go on it. Start with our medical website design service instead.
Paperwork, not booking
You want paperwork done before visits, not booking. Our online intake forms service covers packets and e-signatures.
Vendor blocks outside booking
Your software vendor may not allow outside booking on your plan. If that's the case, we'll tell you before we quote.

Pricing
These are starting points in USD. Your final price depends on which scheduler you use, visit rules, and provider count, and you get a fixed proposal after a free review.
For practices turning on their EHR's booking or one BAA-covered tool for up to 5 providers.
$800one-time, USD
For multi-provider groups that need screening questions, waitlists, and rules per provider.
$2,200one-time, USD
For groups that want booking built into their own site on an EHR or NexHealth API.
$4,600one-time, USD
For Agencies
You own the clinic relationship. We set up the scheduler, write visit rules with the clinic's staff, and put booking on the site you manage, all under your agency's name.
White label: your client only ever sees your brand
Tell us the clinic's EHR, provider count, and the visits patients should book online.
You get the visit rule map, a fixed quote, and dates to approve.
We launch booking, then send you the rule sheet and test results under your brand.
The clinic sees your agency on every call, invoice, and update.
Visit rules, a fixed quote, and a launch date agreed up front.
Senior developers handle EHR scheduling, NexHealth, and custom booking APIs.
Take on one clinic's setup or scheduling for a whole network.
The Right Technology for Your Project
We start with the scheduler you already pay for, then add tools that sign a BAA only where it falls short.

Integration starts at $800 when the EHR's own scheduler or one booking tool covers up to 5 providers. Screening questions, waitlists, and rules for up to 12 providers move you to $2,200. A custom booking flow on an EHR or NexHealth API starts at $4,600.
Most practices launch in 2 to 3 weeks when the scheduler they own is configured and linked from the website. Screening questions, waitlists, and multi-provider rules add 1 to 2 weeks. A custom booking flow on an API takes 6 to 9 weeks, testing included.
Patients prefer booking themselves because they can do it at night, compare real openings, and skip the hold music. They see the provider, location, and time up front, and a confirmation arrives right away. Your practice gets the right visit type in the schedule instead of a callback note.
Online patient scheduling takes the simplest calls off your phones, the ones that only ask for a time. Patients book, confirm, and cancel themselves, so staff handle calls that need a person: referrals, billing, and worried patients. Your call logs show the change within the first month.
You configure them per visit type inside the scheduler. Each type gets a duration, the providers and rooms allowed to take it, buffers, and a booking window. Triage questions come first: new patients get longer slots, and red-flag answers show a phone number instead of a calendar.
You send a confirmation at booking, then reminders a few days and a day before, each with confirm and cancel options. A cancel reply frees the slot for your waitlist instead of leaving a gap. Reminders skip diagnoses and treatment details, and texts go only to patients who opted in.
The ROI depends on your booking volume, so we measure it instead of promising a number. We compare calls per day, online bookings, new patient share, and no-show rate before and after launch. Most practices judge it on front desk hours freed and new patients booked after hours.
The best choice is usually the scheduler built into the EHR you already use. Bookings land in the real schedule, with no sync to maintain. Epic, eClinicalWorks, athenahealth, and ModMed all offer one, sometimes as an add-on. Zocdoc or NexHealth make sense when that option is missing or limited.
Yes, any booking tool that stores patient names, visit reasons, or contact details for you needs a signed BAA. An EHR's built-in scheduler falls under the EHR contract. Calendly's community team said in July 2026 that it doesn't currently offer a BAA, so we don't use it for patient booking.
Every plan includes 30 days of booking checks after launch. We review real bookings each week, fix rules that put patients in the wrong slot, and adjust reminder timing. Later changes are quoted per request, usually when you add a provider or a new visit type.
