About the project

Staffic Project Overview

DeveloperLook designed and built Staffic, its own time tracking and employee monitoring SaaS. Desktop apps for Windows, macOS and Linux feed a web app that turns tracked time, apps, URLs and screenshots into timesheets, payroll and invoices.

Staffic is time tracking and employee monitoring software for remote and hybrid teams, and it's DeveloperLook's own product. Members start a timer in the desktop app on Windows, macOS or Linux. While it runs, the app records time, apps, URLs and optional screenshots. The web app at app.staffic.io turns that record into timesheets, attendance and project budgets, plus payroll and client invoices on the Elite plan.

In October 2026 we redesigned every page of the web app. A dark purple sidebar groups the modules under Time, Work and People, and each page sits on a light rounded panel. Instrument Sans carries the interface and Geist Mono the timers and numbers, with one violet accent, a 9-step type scale and a 14 px card radius. The dashboards were rebuilt, and cards rise, bars grow and live dots pulse unless a user prefers reduced motion.

Managers see who's working right now in the Live Feed, rewind a member's day through its screenshots and approve timesheets before approved hours flow into payroll and invoices. Staffic AI answers questions about hours, clock-ins and app usage. A built-in MCP server lets Claude, Cursor or Codex read the same workspace data with an organization-bound key.

The web app runs on React and Vite with an Express and MongoDB backend, Redis and Socket.IO for live updates, and Cloudflare R2 for screenshot storage. The desktop tracker is an Electron app with idle detection, offline sync and automatic updates.

Challenge and solution

What Staffic Needed and How We Built It

The challenge

Staffic had grown to 16 modules, and its web app needed to feel like one product again.

Sizes and spacing varied from page to page, and the redesign had to change every screen without changing an API, a route or a permission. Monitoring also had to stay transparent: tracking only while the timer runs, with the desktop app showing each member what it records.

Our solution

We redesigned the whole web app around one dark purple frame, one violet accent and a light working panel.

Shared cards, KPI strips, meters and date pickers replaced one-off components, and rebuilt dashboards show hours, activity, top members and projects at a glance. The Electron tracker runs one task timer on Windows, macOS and Linux, with idle detection and offline sync. Staffic AI and a built-in MCP server put the same data in reach of Claude, Cursor and Codex.

Results

Staffic is live at staffic.io, with desktop apps for Windows, macOS and Linux and a public demo workspace at demo.staffic.io. More than 1,000 users track their time with it.

What we built

Features We Built for Staffic

  • Live feed of the team

See who's tracking right now, on which project and task, with a running timer for each member. A manager can take an instant screenshot instead of sending a message to check in.

  • Screenshots on a timeline

Screenshots are taken only while the timer runs and filed with their time, project, task and activity level. Managers scroll a member's day hour by hour or open any capture full size.

  • Timesheets and approvals

Daily, weekly and custom timesheets build themselves from tracked time. Managers approve or reject each period in one view, and approved hours flow into payroll and client invoices.

  • Apps and URLs usage

Every tracked session lists the apps and websites a member used, with the time spent in each. Reports roll this up per member, project and task to show which tools take up the day.

  • Projects, tasks and budgets

Projects carry budgets, deadlines and progress, and tasks switch between table, board, Gantt, calendar and workload views. Time tracked in the desktop app lands on the right task.

  • Payroll and client invoices

On the Elite plan, Staffic calculates pay from approved hours for hourly, monthly and fixed rates, then bills clients from the same time. Invoices track drafts, partial payments and overdue amounts.

  • Staffic AI and MCP server

Staffic AI answers questions about hours, clock-ins and app usage in plain English. A built-in MCP server connects Claude, Cursor or Codex through organization-bound keys that can be read-only.

  • Desktop tracker for three OSes

An Electron app for Windows, macOS and Linux runs one timer per task and stops when the computer goes idle or sleeps. It keeps working offline and shows each member what it records.

FAQ

Questions About the Staffic Project

  • DeveloperLook designed and built Staffic end to end. That covers desktop trackers for Windows, macOS and Linux, a web app with 16 modules from the live feed to payroll, Staffic AI and an MCP server. In October 2026 we redesigned every page of the web app on one shared design system and rebuilt its dashboards.

  • A member starts the timer on a task in the desktop app. While it runs, Staffic records time, activity, the apps and websites in use and, when the workspace turns them on, screenshots. Tracking stops when the timer stops or the computer goes idle, and the app shows each member what it records.

  • The desktop tracker runs on Windows, macOS (Apple silicon and Intel) and Linux, and the web app works in any modern browser at desktop and phone widths. Managers can check the live feed, timesheets and Staffic AI from a phone, while members track time from the desktop app.

  • Every page moved to one design system in October 2026. It pairs a dark purple sidebar and frame with a light rounded working panel, one violet accent, Instrument Sans for text and Geist Mono for timers. The dashboards were rebuilt, shared cards and pickers replaced one-off components, and the APIs, routes and permissions stayed the same.

  • The web app uses React, Vite and Tailwind CSS on the front end, with Node.js, Express and MongoDB behind it. Redis and Socket.IO handle live updates, Stripe handles billing and Cloudflare R2 stores screenshots. The desktop tracker is built with Electron and React, and Staffic AI runs on Claude.

  • Yes. Staffic is our own product, so we've built every layer of a monitoring SaaS ourselves: desktop trackers, a multi-tenant web app, billing, AI and integrations. We'd start from the workflows your team needs to track, then design and build the apps around them. Contact us with your idea and we'll suggest where to start.
