The Problem
It shows up in spring, when the phone rings all day and the reservation book lives on one office computer. Every site is different, so every booking turns into a conversation.
Wrong site
A 40-foot rig gets booked into a 30-foot back-in site.
Wrong site
Guests enter rig length and power first, so only sites that fit show up.
Phone only
Campers can only reserve while your office is open.
Phone only
Online booking takes your reservations and deposits any hour, from any phone.
Seasonals
Seasonal and monthly campers are billed by hand each month.
Seasonals
Seasonal and monthly sites get their own rates, contracts, and billing rules.
One computer
Reservations live on a single office PC with no backup.
One computer
A cloud platform holds every reservation, with staff logins and audit history.
A camper calls about Memorial Day weekend with a 40-foot fifth wheel and needs 50-amp power. You check the map on the wall, then the reservation program on the office PC, then a sticky note about site 22's broken pedestal. By the time you confirm, two more calls went to voicemail. Your seasonal campers pay by check, the camp store keeps its own till, and Sunday morning means retyping cancellations. Your campground software reservation records only open on one computer, so nobody books after hours.
We start with your park as an inventory of sites, not just numbers. Each of your sites gets its type, length limit, hookups, and whether it's pull-through. Then we set up campground reservation software that asks for the camper's rig before it shows anything, so only sites that fit appear. Your deposits, cancellation rules, and seasonal rates are written in once. Your future reservations move over, and the phone goes back to questions instead of bookings.
Sites matched to the rig
Length, hookups, and pull-through access filter the map before a camper picks a site.
Nightly to seasonal stays
Nightly, weekly, monthly, and seasonal sites each follow their own rates and rules.
Off the office computer
Future reservations move from desktop software into a cloud platform without losing a booking.
Our Campground Reservation System Process
You approve every site type, rate, and rule, check your moved reservations against the old system, and book a test site on your phone before guests see it.
We walk through your site map, site types, seasons, and how you take bookings today. You get a written platform pick and an inventory of the records we'll carry over from your current system.
What's Included
Your platform chosen, every site set up with its limits and hookups, rates and seasons, add-ons, reservations moved over, and online booking on your website.

Desktop software is paid for and works without internet, and a paper book costs nothing. Here is where each one holds up and where online booking earns its setup fee.

What Our Clients Say
Feedback from teams we have built booking, travel, and payment products for.
We had a pretty specific idea of what we wanted our website to become, but I wasn’t sure how easily we could explain all of it to a development team. There were quite a few moving parts, and we were working toward a deadline, so I expected a few things to get lost along the way. That never really happened. They understood what we were trying to achieve, kept us updated throughout the process, and got everything ready within the agreed timeline. The final site feels much easier to navigate, works beautifully on mobile, and is noticeably smoother for our customers. It was a huge relief seeing the original idea actually turn into the website we had in mind.
The mobile experience is probably my favourite part of the new site. We had spent a lot of time making sure the desktop version looked right, and the team kept pushing us to think about how everything would actually feel on a phone too. They were right. The navigation is clean, the interactions feel natural, and everything we’ve tested so far works exactly as it should. They also went through the links, forms, integrations, and other details more than once before launch, which I really appreciated. And even after going live, we could still reach out when something came up. The whole process felt friendly, organised, and surprisingly straightforward.
What I appreciate most is that the website is actually easy for us to manage now. We can update content ourselves instead of sending a developer a message every time we need to change something small. They also paid attention to the technical SEO side, which mattered to us because we didn’t want a new website to create problems for the traffic we already had. I’ve probably asked more questions than I should have since launch, but every question has been handled patiently and without any fuss. The team is easy to work with, they explain things clearly, and when we need something changed, they focus on getting it done rather than making the process complicated.

Work Culture
Your sites are not interchangeable, and neither are your campers. These habits keep each of your campers on a site that fits, from your first online booking.
We take each site's length, hookups, and access from your records or a walk-through. A wrong length limit is the fastest way to a big rig with nowhere to park.
We set up Campspot, Newbook, Firefly, RMS Cloud, ResNexus, or Staylist, whichever fits your park. If the system you have can do this with better settings, you'll hear that from us before any quote.
We compare moved reservations against your old system before switching. Your holiday weekend bookings are the ones we check first, because those guests are already counting on you.
Campers often book from the road or a site with one bar of signal. We test the booking flow on slow connections and small screens before launch.
You get a fixed proposal listing every site type, rate, and integration we set up. Anything outside that list waits for your written OK before it's billed.
The reservation platform, payment processor, and guest records are registered to your business. Our staff logins are removed once your park is live and stable.
Overview
DeveloperLook sets up campground management software for campgrounds and RV parks that want campers to book the right site online. We configure site types, hookups, rates and seasons, deposits, add-ons, and move future reservations from your current system. Setups start at $1,100, take 2 to 12 weeks, and the accounts stay in your name.

Good fit
Parks still on desktop software
Your reservations live in a Windows program on one office computer, and you want campground management software that campers can use from anywhere.
RV resorts with mixed hookups
Your sites differ by amps, length, and pull-through access, and you're tired of big rigs arriving at sites they can't fit.
Parks with many seasonal campers
Your park gives half its sites to seasonal or monthly guests, and your rv park management software has to bill them apart from nightly stays.
Family campgrounds with cabins
You rent cabins, tent sites, and golf carts, and you want camping reservation software that sells firewood and rentals with each stay.
Owners of several parks
You run two or more parks and need one camping management software account with shared rates, guest records, and reports.
Not a fit
Budget under $1,100
You run a handful of tent sites on summer weekends. A simple booking form with a deposit link will do until demand grows.
Website needs work first
Your real problem is a dated website that doesn't show your sites. Campground Website Design covers the site and its map pages.
Only need Campground Master help
You're happy on Campground Master and only want to learn it better. Cottonwood Software's own manual and support are the cheaper route.
Mostly tours and rentals
You mainly sell guided trips or boat rentals, not sites. Tour Booking Software Integration fits departures and seats better.

Pricing
These are starting points in USD. Your final price depends on your site count, seasonal and add-on rules, and what moves over from your current system. You get a fixed proposal after a free park review.
For Agencies
You own the client relationship with the park. We supply the reservation work behind it: site setup, rates and seasons, add-ons, the move from old software, and the website booking button, tested under your agency's brand.
White label: your client only ever sees your brand
Send the park's site map, rates, and current software, and we scope it in writing.
We set up sites, rates, and add-ons, then move reservations under your brand.
You take the park live while we support its bookings for 45 days.

Our setup starts at $1,100 for one park with up to 150 sites, nightly rates, deposits, and a booking button on your website. Seasonal billing, add-ons, marketplace listings, and moving your reservations is $2,900. Custom booking flows and multi-park setups start at $6,400. Whichever platform you choose bills its own subscription and booking fees directly.
A clean setup for one park usually takes 2 to 4 weeks. Moving years of reservations from desktop software adds about 1 to 2 weeks, mostly for checking records. We schedule your switch for a quiet midweek stretch, well clear of holiday weekends, and your old system stays readable afterward.
It asks before it shows. The camper enters rig type, length, and power needs, and the platform filters out every site that can't take that rig. That only works when each site's limits are entered correctly, so the campground software reservation setup starts with measuring your sites, not with the booking page.
Cottonwood Software builds the learning tools into Campground Master itself. There's a full manual inside the program (press F1), a Quick-Start Tour, downloadable manuals, a demo, and a free 30-day trial, plus phone and email support. If you'd rather move to a cloud platform instead, we handle that switch.
Yes. We export your upcoming reservations, guest records, and seasonal contracts, then map each booking to its site in the new platform. Your staff compare a sample against the old system before campers start booking online. Past stays usually stay in the old system as a read-only archive.
Campground booking software holds your sites, rates, and reservations, while your website explains the park and sends campers to book. You need both, and they connect through a booking button or page. We set up the reservation side here. Campground Website Design covers the pages, photos, and site map.
Yes, most platforms built for RV parks treat seasonal and monthly sites differently from nightly ones. Each can have its own rate, contract dates, and billing schedule, so seasonal campers stop showing up as one long booking. We set up the rules you use today and test a full billing cycle before launch.
Yes, on platforms that offer interactive maps. Firefly Reservations and RMS Cloud both document a map where campers choose their exact site. Many parks charge a site-lock fee for that choice, and we can set one up. The map is drawn from your real layout, so we check it against your site numbers.
List where your campers already search, as long as the listing reads your live inventory. Campspot runs a marketplace for RV resorts and campgrounds, and Hipcamp lets hosts list sites free while taking a commission on bookings. Each listing brings new campers but costs a cut, so we compare that against your direct bookings first.
Your park does. Reservations, guest records, and the payment account sit under your business, and we use staff logins you can switch off. After 45 days of go-live support we remove those logins and leave a short guide for your team covering new site types and next season's rates.
