The Problem
It starts on the first of the month. A batch of dues fails, and your staff spend the week chasing members instead of selling memberships.
Failed dues pile up on the first of the month.
Every freeze or tier change is keyed in by hand.
Members skip the updated waiver, and nobody catches it.
Per-member software fees rise as your gym grows.
The first of the month hits, and a batch of dues fails. Your gym software sends one generic email, then stops. A member walks in, and your staff asks about an expired card in front of everyone. Someone else wants to freeze for a trip, so a manager edits the plan by hand. Another member skipped the updated waiver. And you pay per member for software that leaves this work to people.
Automatic retries and secure card-update links run before staff ever step in.
Members freeze or switch tiers in their portal, with billing adjusted automatically.
Members sign the agreement and waiver online while joining, stored with their account.
Billing runs on your own Stripe account, with processing fees but no per-member software fee.
We start with your billing rules: plans, freezes, upgrades, and what happens when a payment fails. Then we build them on your own Stripe account. Members join online with card or ACH autopay and sign the agreement and waiver in the same flow. Failed charges retry automatically and send a secure update link. Your staff sells memberships, not collection calls.
Autopay from the first day
Members join online with card or ACH and sign everything before their first visit.
Freezes members set themselves
Members pause dues for travel or injury with a resume date and no desk visit.
Retries before any phone call
Failed dues retry automatically, and members get a secure link to update their card.
Our Gym Membership Software Process
Nothing charges a real card until you approve it. You sign off on plans, portal screens, and test payments in Stripe's sandbox first.
What's Included
It covers the whole member cycle. Joining, signing, autopay, self-service, and recovery when payments fail, all without a per-member platform.
Compare Options
Each option fits someone. An all-in-one platform bundles scheduling and billing, and manual billing costs almost nothing. Neither gives you your own billing system.

Projects We've Built
Two gym membership products and two SaaS web products we designed and built. They handle plans, accounts, and the admin views a billing system needs.
What Our Clients Say
Feedback from teams we have built membership and recurring billing products for.
We had a pretty specific idea of what we wanted our website to become, but I wasn’t sure how easily we could explain all of it to a development team. There were quite a few moving parts, and we were working toward a deadline, so I expected a few things to get lost along the way. That never really happened. They understood what we were trying to achieve, kept us updated throughout the process, and got everything ready within the agreed timeline. The final site feels much easier to navigate, works beautifully on mobile, and is noticeably smoother for our customers. It was a huge relief seeing the original idea actually turn into the website we had in mind.
The mobile experience is probably my favourite part of the new site. We had spent a lot of time making sure the desktop version looked right, and the team kept pushing us to think about how everything would actually feel on a phone too. They were right. The navigation is clean, the interactions feel natural, and everything we’ve tested so far works exactly as it should. They also went through the links, forms, integrations, and other details more than once before launch, which I really appreciated. And even after going live, we could still reach out when something came up. The whole process felt friendly, organised, and surprisingly straightforward.
We approached DeveloperLook needing a recurring billing system that could handle tiered pricing, free trials, and automatic renewals for our membership platform. The team not only delivered exactly that but also connected everything to our CRM so our sales team had full visibility into subscription status. Their communication was clear throughout, they flagged potential issues before they became problems, and the final integration worked flawlessly from day one. Highly recommend them to any subscription business.

Work Culture
Billing touches your members' money and your cash flow. These habits keep charges accurate, reminders kind, and your data in your hands.
Overview
DeveloperLook builds gym membership software on your own Stripe account. We set up card and ACH autopay, a portal for freezes and tier changes, signed waivers, and automatic retries for failed dues. Projects start at $1,450, most go live in 3 to 12 weeks, and the member data stays yours.
Your front desk chases failed dues. Staff spend mornings calling members about expired cards instead of selling memberships.
Your gym software costs more as you grow, yet you only use its billing and check-in.
Your members ask the desk to freeze for travel or switch tiers, and staff key in every change.
You want gym recurring billing software on your own Stripe account, with autopay and a portal members use.
You build sites for gyms and need a partner who delivers membership software for gyms under your agency's name.
Mindbody, PushPress, or Glofox already bills your members well. Keep it, and we'll connect your website instead of replacing it.
Your budget is under $1,450. Stripe Payment Links and a signed PDF waiver can cover a small studio for now.
You sell subscription boxes or products, not gym memberships. Our Subscription Management Software & Recurring Billing Integration page fits.
You only need to recover failed charges in a subscription store. Our Failed Payment Recovery and Dunning Management page fits.

Pricing
These are starting points in USD. Your final price depends on plan types, portal features, and members to move, and you get a fixed proposal after a free billing review.
For single gyms moving dues to card and ACH autopay, in 3 to 4 weeks.
$1,450
For gyms whose members should freeze and upgrade on their own, in 6 to 8 weeks.
$3,850
For multi-location gyms replacing per-member software, in 10 to 12 weeks.
$7,900
For Agencies
You keep the gym client and the website. We build the billing layer behind it: Stripe plans, join flows, member portals, and dunning, delivered under your brand with sandbox demos.
Send the gym's plans, fees, current software, and member count.
You get a fixed quote, a billing rules document, and a timeline.
We build under your brand and hand over code, accounts, and docs.
The Right Technology for Your Project
We build on Stripe Billing and the e-signature tools gyms already trust, with code your team owns.
FAQ
Straight answers on cost, autopay, member portals, waivers, dunning, and migration.
Our custom builds start at $1,450 for Stripe autopay, an online join page, signed waivers, and failed-payment emails. The Member Portal plan costs $3,850 and adds freezes and tier changes. A full system for several locations starts at $7,900, and Stripe's fees stay separate.
Most builds take 3 to 12 weeks. Autopay setup takes 3 to 4 weeks, a member portal 6 to 8, and a full system 10 to 12. Moving members from old software can add time, since some processors take weeks to release card data to Stripe.
They set each membership up as a recurring price in Stripe Billing or a similar platform, then collect a card or bank account at joining. ACH Direct Debit covers US banks, and Stripe also supports Bacs in the UK and SEPA in Europe. After one bank check, charges run on schedule.
Stripe's customer portal handles card updates, invoices, cancellations, and plan switches, but it has no freeze button. We add a branded portal that uses Stripe's pause feature with a resume date. ACH members also can't enter a new bank account in Stripe's portal, so our portal covers that step too.
Put the signing step inside the join flow, before payment. Dropbox Sign's embedded signing shows the agreement in a frame on your site, and Smartwaiver sends a webhook each time a waiver is signed. We attach both records to the member's account, and your attorney supplies the wording.
Automatic retries plus reminders with a secure update link handle it without a desk conversation. Stripe's Smart Retries pick when to retry, and Stripe can email members after each failed payment with a card-update link. We add texts for members who opted in, plus a past-due flag.
Buy a platform if you need scheduling, check-in, and billing in one place and the fees fit your budget. Build when you mainly need billing, want it on your own Stripe account, or have outgrown the platform's pricing. We'll tell you which fits after the free review.
It should let members cancel the way they joined and keep a record of their consent. California's updated automatic renewal law, for example, requires online cancellation when people sign up online, for contracts from July 1, 2025. Your attorney confirms your rules, and we build to match.
Often, yes, when you leave your old software. Gym membership records move over, and Stripe can import saved cards and bank accounts from your current processor once it releases the data. Members keep paying the old way until the import finishes, so nobody misses a charge.
Your gym owns the code, the Stripe account, and every member record. We deploy to hosting in your name and hand over the repository and admin access. Support lasts 30 days on Autopay Starter, 60 on Member Portal, and 90 on the full system, then continues on request.
