The Problem
It shows up when a clinic bills outside WebPT, joins a hospital system, or plans a switch. WebPT integrations run through interfaces nobody on staff has mapped or tested.
Charges
Finalized Daily Notes get re-keyed as charges by hand.
Charges
WebPT's billing feed sends them, after we map the receiving system first.
Addendums
An edited note creates a second encounter that gets billed.
Addendums
A rebill checklist removes the old encounter, so each visit bills once.
Names
One letter of difference makes the feed reject a provider.
Names
Provider names are matched exactly in both systems before the feed starts.
Leaving
Nobody knows what a WebPT data export holds.
Leaving
We list what each export contains, then test it on sample patients.
Your therapist finalizes a Daily Note at 6 p.m. Your billing company doesn't see it until someone re-keys the charge, so the claim goes out a week late. A note edited after finalizing creates a second encounter in Kareo, and both get billed. Provider names differ by one letter between systems, so the feed rejects them. Patients who go by a nickname appear under their legal name on statements. And when you ask what a WebPT data export includes, nobody can say.
We start with the interfaces WebPT already runs, not new code. WebPT builds and monitors HL7 feeds for billing, registration, and documentation. So we prepare your receiving side: provider names matched exactly, payers and fee schedules mapped, and a list of fields that travel. Then we test real Daily Notes, including an addendum and a rebill. Charges reach billing once, not twice, and not a week late.
Charges reconciled weekly
Every finalized Daily Note is matched to a billing encounter, so gaps and duplicates surface fast.
Names matched before go-live
Provider, payer, and patient name fields are checked so the feed doesn't reject or relabel them.
Exports planned in advance
You know which patient data, cases, and notes leave WebPT before you sign anything new.
Our WebPT Integration Services Process
You see which WebPT interfaces already exist, approve the field map before any feed starts, and watch test Daily Notes, addendums, and rebills reach billing correctly.
We look at where your charges go today, which WebPT interfaces already run, and what your billing system, EHR, or app expects. You get a list of what WebPT's own billing, payments, and scheduling already cover.
Projects We've Built
Medical websites and patient apps we designed and built. None ran WebPT, but they show how we handle patient records, appointments, and clinical documents.

What's Included
Charge feeds mapped into your billing system, notes sent where they're needed, scheduling links and payments checked, and a weekly reconciliation your biller can trust.
Compare Options
WebPT RCM keeps billing inside WebPT, and manual entry costs nothing to start. Here is where each one fits, and where it stops once an outside biller or a second system is involved.

What Our Clients Say
Feedback from teams we have built patient record and clinic software for.
We had a pretty specific idea of what we wanted our website to become, but I wasn’t sure how easily we could explain all of it to a development team. There were quite a few moving parts, and we were working toward a deadline, so I expected a few things to get lost along the way. That never really happened. They understood what we were trying to achieve, kept us updated throughout the process, and got everything ready within the agreed timeline. The final site feels much easier to navigate, works beautifully on mobile, and is noticeably smoother for our customers. It was a huge relief seeing the original idea actually turn into the website we had in mind.
The mobile experience is probably my favourite part of the new site. We had spent a lot of time making sure the desktop version looked right, and the team kept pushing us to think about how everything would actually feel on a phone too. They were right. The navigation is clean, the interactions feel natural, and everything we’ve tested so far works exactly as it should. They also went through the links, forms, integrations, and other details more than once before launch, which I really appreciated. And even after going live, we could still reach out when something came up. The whole process felt friendly, organised, and surprisingly straightforward.
What I appreciate most is that the website is actually easy for us to manage now. We can update content ourselves instead of sending a developer a message every time we need to change something small. They also paid attention to the technical SEO side, which mattered to us because we didn’t want a new website to create problems for the traffic we already had. I’ve probably asked more questions than I should have since launch, but every question has been handled patiently and without any fuss. The team is easy to work with, they explain things clearly, and when we need something changed, they focus on getting it done rather than making the process complicated.

Work Culture
We use the interfaces WebPT already supports, test the messy cases on purpose, and give your biller a weekly report instead of a black box.
WebPT already builds and monitors HL7 feeds for billing and documentation. We prepare your side of them rather than building a parallel sync nobody supports.
We check WebPT Billing, WebPT RCM, integrated payments, and scheduling links before quoting. If WebPT's own tools already cover your case, we'll tell you before we quote.
Providers, payers, and patient fields are matched before a feed starts. One wrong letter in a provider name is cheaper to fix on a sheet than in rejected claims.
We test an addendum and a rebill during setup, not just a clean note. That's where duplicate encounters usually start, so that's where your test plan starts.
We test with sample patients and test Daily Notes first. Real patient records only flow after your team signs off on the results.
You get a fixed proposal after the free review, with each interface and export listed. If we find more work mid-build, we ask before adding it.

Good fit
PT clinics with an outside billing company
Your billing company works in its own system, and staff re-key every finalized Daily Note as a charge because nobody set up a WebPT billing integration.
Clinics billing in Kareo, now Tebra
You've run the Kareo integration with WebPT for years, and encounters now appear twice after addendums because nobody deletes the old one.
Hospital outpatient therapy departments
Your hospital EHR needs finalized therapy notes as PDFs in each chart, and referrals should reach WebPT without the front desk retyping them.
Clinic groups planning to switch EMRs
You're moving off WebPT and need to know exactly which patient details, cases, and finalized notes come out, and in what format.
Developers building for therapy clinics
Your team searched for a WebPT API integration for your app and found no public developer portal, only WebPT's integration team.
Not a fit
Clinic documents in Tebra
Your clinic charts and bills in Tebra itself, not WebPT. Our Tebra Integration page covers its scheduling widget, data exports, and APIs.
Chiropractic on ChiroTouch
Your practice is chiropractic and runs ChiroTouch. Our ChiroTouch Integration page covers its Cloud and Server versions and their partner links.
Billing stays inside WebPT
You use WebPT Billing or WebPT RCM, so charges stay inside WebPT. You likely don't need an interface at all, and we'll tell you before we quote.
Need a new clinic website
Your website is the bigger problem. Our Physical Therapy Website Design page builds the site, with scheduling links placed on every service page.

Pricing
These are starting points in USD. Your final price depends on your systems, clinic count, and feeds, and you get a fixed proposal after a free discovery call.
For Agencies
You own the clinic relationship, whether you bill for them or run their marketing. We supply the WebPT side: charge feed mapping, reconciliation reports, scheduling links, and export plans, tested with real Daily Notes. Your name stays on the deliverables.
White label: your client only ever sees your brand
Send the clinic's WebPT setup, billing system, and the feeds they need.
We map fields, coordinate with WebPT, and test under your company's name.
You get a white-label runbook and reconciliation template for the clinic.

WebPT integration services from DeveloperLook start at $850 for one clinic: billing feed mapping, a field list, test Daily Notes, and a first-month reconciliation sheet. A live, reconciled billing interface starts at $2,050. Multi-system work with documentation feeds, registration, and reporting starts at $4,200. Any interface fees WebPT charges are agreed between your clinic and WebPT.
Most WebPT integrations take 1 to 6 weeks. Feed readiness for one clinic takes 1 to 2 weeks, and live interfaces with reconciliation take 3 to 6 weeks. The Kareo setup guide says WebPT's side of a billing interface can take up to two weeks, so we schedule our work around it.
WebPT is EMR and practice management software for outpatient physical, occupational, and speech therapy clinics. Founded in 2008 by Heidi and Brad Jannenga in Phoenix, it covers documentation, scheduling, home exercise programs, digital intake, billing, and patient payments. It also runs revenue cycle services and supports interfaces with more than 60 other systems.
Warburg Pincus agreed to buy a majority stake in WebPT in August 2019, from earlier investor Battery Ventures. Co-founder Heidi Jannenga kept an ownership interest at the time. We found no public report of a later sale, though WebPT sold its Keet Health outcomes product to Net Health in January 2026.
Not a public one that we could find. WebPT's integrations and partner pages describe managed HL7 interfaces for registration, billing, and documentation, plus custom builds by its own team, with no developer portal or self-serve keys. So a WebPT API integration usually means working with WebPT's integration team on an interface.
Any billing system that can receive WebPT's outbound HL7 billing messages (ADT, BAR, and DFT) can take its charges. WebPT names its own options first: WebPT Billing, WebPT RCM, and Therabill, with Waystar as its clearinghouse partner. Kareo was one of its first certified billing partners. Your biller's system gets checked for the feed before anything is quoted.
Not according to the documented interface. The guide for the Kareo integration with WebPT maps first, middle, and last name, prefix, and suffix, with no nickname field. That guide dates from 2015, and Kareo is now part of Tebra, so a sample patient gets tested before your statements go out.
Yes. In WebPT's Patient Manager, Display Patients can be filtered and exported to Excel with names, patient IDs, contact details, date of birth, insurance, and physician. WebPT advises against exporting a very large list at once, so big clinics export in batches. Moving everything else means asking WebPT for a full data export.
Not in one click. An older WebPT help article describes a full export as a password-protected zip holding demographics, cases, payers, and documents for patients with finalized notes. Fees, timing, and anything beyond that aren't published, so you get WebPT's answer in writing and tested files before you switch systems.
You do. Field maps, reconciliation reports, and any code live in your accounts and repository, and the interfaces stay under your clinic's agreement with WebPT. At handover you get a runbook covering each feed, the rebill steps, and who to contact at WebPT. Your plan includes 14, 30, or 60 days of post-launch support.
