The Problem
PracticePanther legal software integrations usually come up after a near miss. A call note didn't reach the file, an email went unlogged, or a trust payment hit the wrong account.
01 · Intake
Website inquiries get retyped into new matters by hand.
Intake forms on your site create the contact and matter on submit.
02 · Email
Client emails stay in personal inboxes, not on the matter.
The Outlook add-in or Gmail add-on logs each email to its matter.
03 · Calls
Answering service notes arrive by email and miss the file.
Receptionist calls sync to the contact through Smith.ai or a call log recipe.
04 · Trust funds
Trust payments land in the wrong QuickBooks account.
Operating and trust payments map to separate accounts your bookkeeper approved.
Your website's contact form emails a paralegal, who retypes the caller's name, case type, and phone number into PracticePanther. Attorneys forward client emails to themselves instead of logging them to the matter. The answering service sends call summaries by email, and some don't reach the file. Invoices reach QuickBooks, but trust payments land in the wrong account because nobody mapped them. Then someone asks for API access and learns your plan doesn't include it.
We start by checking your PracticePanther plan, because Zapier, the API, and intake forms depend on it. Then we switch on what's built in: email add-ins, two-way calendar sync, the QuickBooks Online link, and intake forms on your website. Gaps get Zapier recipes or a small app on the API. Each flow moves only the fields it needs, so confidentiality is designed in, not patched on later.
Plan checked before setup
Zapier, the API, and intake forms depend on your plan tier, so we confirm it first.
Email filed to the matter
Outlook and Gmail add-ins log client emails and attachments to the right contact or matter.
Trust kept apart from operating
QuickBooks Online receives operating and trust payments in separate accounts your bookkeeper approved.
Our PracticePanther Integration Process
You see what your plan already includes, approve the connection map and price, and test each flow on a sample matter before attorneys and staff switch over.
We review your plan, users, phones, email, website, and accounting setup. You get a written list of what's already included, what Zapier covers, and what needs custom work on the API.
What's Included
Most firms need three or four of these parts. Native integrations come first, then Zapier, then custom code on the API only where the gap is real.
Compare Options
PracticePanther's support team knows its settings, and a tech-savvy paralegal can build simple Zaps. Here's where each holds up once calls, intake, and accounting touch one matter.

Projects We've Built
Consulting, insurance, recruiting, and risk management builds with forms, records, and dashboards. None of them ran PracticePanther, but the data work is closely related.
What Our Clients Say
Feedback from teams we have built websites and client software for.
We had a pretty specific idea of what we wanted our website to become, but I wasn’t sure how easily we could explain all of it to a development team. There were quite a few moving parts, and we were working toward a deadline, so I expected a few things to get lost along the way. That never really happened. They understood what we were trying to achieve, kept us updated throughout the process, and got everything ready within the agreed timeline. The final site feels much easier to navigate, works beautifully on mobile, and is noticeably smoother for our customers. It was a huge relief seeing the original idea actually turn into the website we had in mind.
The mobile experience is probably my favourite part of the new site. We had spent a lot of time making sure the desktop version looked right, and the team kept pushing us to think about how everything would actually feel on a phone too. They were right. The navigation is clean, the interactions feel natural, and everything we’ve tested so far works exactly as it should. They also went through the links, forms, integrations, and other details more than once before launch, which I really appreciated. And even after going live, we could still reach out when something came up. The whole process felt friendly, organised, and surprisingly straightforward.
What I appreciate most is that the website is actually easy for us to manage now. We can update content ourselves instead of sending a developer a message every time we need to change something small. They also paid attention to the technical SEO side, which mattered to us because we didn’t want a new website to create problems for the traffic we already had. I’ve probably asked more questions than I should have since launch, but every question has been handled patiently and without any fuss. The team is easy to work with, they explain things clearly, and when we need something changed, they focus on getting it done rather than making the process complicated.

Work Culture
Client files carry confidentiality duties. These habits keep every connection approved, traceable, and limited to the data each tool actually needs.
We set up the vendor's own add-ins and syncs before suggesting Zapier or the API. If a setting solves it, we'll tell you before we quote.
Each connection moves only the fields it needs, in line with ABA Model Rule 1.6(c) on protecting client information. Sensitive notes stay in your practice software.
Zapier, the API, and intake forms depend on your plan tier. You know whether an upgrade is needed before any work starts.
We test every flow on a sample matter instead of a real client file. Your live records only see flows that already passed.
We explain each flow in a short guide your attorneys will actually read. Nobody needs a training day to file an email.
Zapier accounts, API credentials, and any custom code belong to your firm, not to us. Changing providers later doesn't mean rebuilding anything from scratch.

Good fit
Small firms on the Business plan
Your Business plan includes intake forms and Zapier, but website inquiries still arrive as emails that a paralegal retypes into new matters.
Firms that live in Outlook
Your attorneys file client emails by hand, and the PracticePanther Outlook plugin sits installed but unused on half the laptops.
Firms using a virtual receptionist
You pay an answering service, and you want PracticePanther virtual receptionist sync so every call note lands on the right contact.
Firms on RingCentral phones
Your office phones run on RingCentral, and you want a RingCentral PracticePanther legal software integration that logs calls without copy and paste.
Legal tech teams and consultants
You build tools for law firms and need the PracticePanther API documentation turned into a working, approved integration for a client.
Not a fit
Firm runs on Clio
Your firm runs on Clio, not PracticePanther. Our Clio Website Integration page covers Clio Grow intake and the Clio Manage API.
Firm runs on MyCase
You use MyCase and its online lead forms. Our MyCase Integration page covers its Open API, lead forms, and client portal links.
Still choosing intake software
You haven't settled on intake software, and leads still live in email. Our Law Firm CRM Integration page covers choosing and wiring one first.
Solo plan, one inbox
You're on the Solo plan with one inbox, and QuickBooks already syncs. Built-in settings may be enough, and we'll say so before we quote.

You own the client relationship. We supply the PracticePanther engineering: add-in rollouts, QuickBooks mapping, Zapier recipes, and API builds. Fixed quotes protect your margin, and every flow is tested on a sample matter before the firm sees it.
White label: your client only ever sees your brand
Send the firm's plan tier and its phones, email, and accounting tools.
You get a connection map, a fixed quote, and a test date.
Tested flows and a staff guide delivered under your consultancy's name.
Your name on every document, and we only join calls when you ask.
Each firm's plan and tools priced upfront, so you resell with confidence.
Engineers who understand matters, trust accounts, conflicts, and intake.
Extra hands when several firms switch systems or upgrade at once.
The Right Technology for Your Project
We start with the vendor's own add-ins and syncs and use Zapier for common pairs. Custom code on the API comes last, when your plan includes it.

DeveloperLook's PracticePanther setups start at $750 for the built-in tools: email add-ins, calendar sync, QuickBooks Online, and one intake form. Zapier recipes for leads, calls, and Asana start at $1,950, and custom API builds start at $4,100. Software subscriptions are billed by their vendors.
Setups using native tools take 1 to 2 weeks, mostly add-in rollout and QuickBooks mapping. Zapier projects take 2 to 4 weeks, and API builds take 4 to 6 weeks plus however long PracticePanther takes to approve API access. We request that access in week 1, so it doesn't hold up the rest.
PracticePanther is cloud legal practice management software for law firms. It keeps contacts and matters, time and expenses, billing, trust accounting, calendars, tasks, intake forms, and PantherPayments in one system. Plans run from Solo to Business Pro, and Zapier and API access come with the Business tiers.
Yes, with QuickBooks Online (Simple Start, Essentials, or Plus), but not QuickBooks Desktop. The sync runs one way, from PracticePanther to QuickBooks: contacts, invoices, operating and trust payments, and items. Changes made in QuickBooks don't flow back, so we agree with your bookkeeper where corrections happen.
Through Zapier, which offers a ready pairing of the two apps on PracticePanther's Business plans. A common recipe creates an Asana project or task when a new matter opens. We map the matter name, client, and responsible attorney, and add a filter so only chosen practice areas create Asana work.
Carefully, with one system owning each field so updates don't loop. PracticePanther triggers can create Asana tasks, and Zapier's PracticePanther actions can add a note or task back on the matter when Asana work finishes. We add a tag check so a task created by the sync doesn't trigger it again.
Zapier's Facebook Lead Ads trigger sends each new lead to PracticePanther's create contact action, on the Business plans. We map the ad form's questions to contact fields, add a lead source value, and use find-or-create so a returning prospect doesn't become a duplicate contact.
No. PracticePanther manages matters, billing, and client records, while Office 365 provides your email, documents, and calendars. They work together: the Outlook add-in logs emails to matters, and Exchange or Office 365 calendars sync both ways. Most firms keep Office 365 and connect it rather than replace it.
PracticePanther belongs to Paradigm, which private equity firm Francisco Partners acquired in October 2021, and LawNext's 2024 ownership scorecard still lists it there. Alpine Investors backed PracticePanther in 2018 and later grouped it with Bill4Time under the company that became Paradigm. Ownership doesn't change your integration options, which follow your plan.
